General Description of Position:

To consider all employees as customers and provide fleet management and execution of the fleet strategy in such a way that it enables these same employees to perform their jobs in a safe environment without the distraction and maximizes stewardship of fleet assets. The fleet manager is responsible for ensuring the company’s fleet assets are managed in an efficient, safe and professional manner from asset, business, financial, information and maintenance perspectives.

Duties & Responsibilities:

Including but not limited to the following.

  • Utilizes strategic sourcing for vehicle purchases.
  • Responsible for new vehicle selection, value pricing, job specification analysis, and selecting appropriate remarketing strategy for older vehicles.
  • Manage vehicle assignments and allocation throughout the organization.
  • Ensure all company vehicles are in compliance with Federal DOT, state and local government regulations and standards.
  • Analyze, build and execute a comprehensive vehicle asset lifecycle plan in order to forecast future FY needs (OPEX and CAPEX).
  • Process new vehicles for fleet tags, titles, and registrations.
  • Analyze and process annual county tax invoices.
  • Communicate all necessary insurance information to the legal department and insurance carrier as needed.
  • Ensures adherence to continuous quality improvement initiatives for assets.
  • Manages and tracks fuel transactions through company’s fuel system.
  • Provide guidance in risk management and conducts fleet safety initiatives.
  • Prepare and modify effective Standard Operating Procedures and processes from the Fleet Policy.
  • Manage vendor set up and relationships.
  • Responsible for developing KPI’s (Key Performance Indicators) which affect fleet performance, Operational Expenditures, and ultimately Capital Expenditures.
  • Be able to create and submit a CAR (Capital Acquisition Request) and purchase orders for fleet.
  • Work with the department director in creating and establishing an annual budget
  • Provide detailed information to the assistant comptroller explaining budgetary financial variances.
  • Ensure AP invoices are processed and sent to the AP department in a timely manner
  • Manage OPEX and CAPEX budgets effectively.
  • Analyze key data from telematics system and document findings and submit this information in the status report to the director.
  • Identify and communicate regularly with management staff and drivers of company vehicles regarding fleet issues.
  • Work with maintenance vendors to perform root cause analysis of maintenance issues and develop strategies to improve overall effectiveness of fleet vehicles.
  • Document and analyze the results of field audits in order to determine recurring issues.
  • Assist supervisors and driver colleagues in scheduling their assigned vehicle for PM’s as well as major repairs.
  • Coordinate, prepare and position assets in preparation for an response to emergency scenarios.

 

Job Requirements

Minimum Qualifications:

  • Must be able to effectively communicate orally and in writing.
  • Experience with asset management systems and GPS reporting.
  • Good interpersonal skills are a necessity.
  • Working knowledge of Microsoft Office Suite, particularly Excel.
  • Must possess a valid driver’s license with a safe driving record.
  • Must be able to work various schedules to include extended hours.
  • Must be adaptable to growing and changing business environment.
  • Must be very organized and self-motivated.
